BBQGuys Shipment Guidelines

Please ship purchase orders completely when possible. If there are any questions about whether an order should be shipped or held to ship complete, based availability of items on order, please contact BBQGuys at vendorsupport@bbqguys.com

 

Please find below the shipment guidelines per order type:  

  1. Small Parcel orders: 
    • Ship within the estimated ship date (ESD) provided on the acknowledgement.
    • Please process shipments in Logicbroker based on the agreement you have with BBQGuys.
      • Small parcel orders will ship via FedEx. Daily FedEx Pickups are required if there are items that need to ship. Pick-ups are not automatically scheduled when creating labels in Logicbroker. FedEx pick-ups will need to be coordinated directly with FedEx; please reach out to vendorsupport@bbqguys.com if you need FedEx’s contact information.
    • Shipments should be created for the following business day, please do not schedule any shipments for days or weeks in the future, this creates poor customer experience.
    • If you need to manually enter shipping information into Logicbroker, please ensure you are adding the carrier and tracking numbers correctly so information will provide working tracking links when customer emails are sent.
    • Tracking information provided via automated upload feeds also are required to follow these expectations.  
    • Shipment labels are available in the Logicbroker shipment. The label(s) can be found on the Shipment under attachments.
    • Please do not use the GS1 label in the “More Actions” section as this is not relevant to small parcel purchase orders.
       
  2. Freight Orders; LTL (less than truckload):
    • Ship within the estimated ship date (ESD) provided in the acknowledgement.
    • Shipments should be created for the following business day, please do not schedule any shipments for days or weeks in the future, this creates poor customer experience.
    • When shipping on BBQGuys accounts, freight shipments will be entered in Logicbroker. This will generate a Bill of Lading (BOL) for you and the assigned freight carrier will be notified for pickup. 
      • Freight shipments may require a Freight Class Override depending on the item. See which items require Freight Class Overrides here. Form is also attached at the end of this guide.
      • Shipment BOLs are available on the Shipment Document in Logicbroker in the Tracking URL Link under the “General Information” section at the top of the Shipment Document.
      • If you need to manually enter shipping information into Logicbroker, please ensure you are adding the carrier and tracking numbers correctly so information will provide working tracking links when customer emails are sent.
      • Tracking information provided via automated upload feeds also are required to follow these expectations:
        • R&L Carrier tracking numbers are alphanumeric. There should be no spaces, dashes, or other special characters.
          • Example: I241985862 - no other variations are permitted.
        • Estes Freight tracking numbers have 10 digits with no spaces, dashes, or other special characters.  
          • Example: 1540359760 - no other variations are permitted.
    • When warehouse teams are loading trucks, the very last pallet loaded should contain copies of the following and visible when truck doors open for unloading:
      • BBQGuys/Logicbroker pack slip.
      • Internal systems pick slip confirming quantities.
      • Validation that the shipment contains the same quantities listed on the pick and pack slips.
         
  3. When shipping freight inbound on BBQGuys accounts, if shipping 8 or more pallets or if shipment weight exceeds more than 8000 lbs., please adhere to these instructions:
    • Please fill out our  BBQGuys LTL/FTL Form and email to BBQG3PLSUPPORT@bbqguys.com 
      • Our 3pl will schedule your pickup with the carrier and our Baton Rouge DC and send you back the carrier BOL and delivery appt time for the shipment.  Then you will be asked to confirm both your receipt of the BOL and pick up time and delivery appointment by return email.
      • You will use the Logicbroker manual shipment process to enter the tracking information for the shipment.
         
  4. When shipping freight inbound on your accounts, if shipping 8 or more pallets or if shipment weight exceeds 8000 lbs. to our Baton Rouge, LA DC, Mechanicsburg, PA or San Bernadino, CA warehouses, an appointment must be made by your shipping department.  Please adhere to these instructions:
    • For the Baton Rouge DC please email randyb@bbqguys.comryann@bbqguys.com and cc vendorsupport@bbqguys.com.
      • Once delivery appointment is provided, then please reply to confirm appointment.
      • You will use the Logicbroker manual shipment process to enter the tracking information for the shipment.
    • For the Mechanicsburg PA and San Bernadino CA warehouses please use the scheduling link PADC Scheduling Tool Link. (Pro tip please have your BOL ready before you try to schedule.)
      • Once delivery appointment is provided, please reply to confirm appointment.
      • You will use the Logicbroker manual shipment process to enter the tracking information for the shipment.
