Document Statuses

For all documents processed through Logicbroker, statuses are used to track the automatic processing and actions needed to take. Workflows can be configured to fit how and when you need to receive your documents. Contact support for more information on customizing your flows.

The standard statuses listed below for each document show the standard statuses and normal processing we follow.

Order
Status ID Status Name Description

0

New

When a document is created in the Logicbroker system, all documents will process in the New status, eventually proceeding to Submitted (100). Documents should not be updated or edited when in the New (0) status. Here configured rules and asynchronous data validation are run for the receiving partner. Setting a document back to New (0) runs all of this processing again. For a Failed (1200) document, More Actions > Retry does this. Retry appears only while the document is Failed (1200), and it reprocesses the same document without changes. Some accounts also see More Actions > Change Status, which can set a document in another status back to New (0). Setting an order back to New (0) sends it to the receiving system again, which may create a duplicate order there.

100

Submitted

If you are picking up your document via API or SFTP/FTP (JSON, XML, and CSV Only), you will see your document sit in this status. Once the document is processed it will automatically move to Acknowledged (200) to indicate the document was successfully picked up.

150

Ready to Acknowledge

Status indicates the order is waiting for acknowledgement. In some cases if using API or SFTP/FTP integration, the process can be configured to pick up files in this status instead of Submitted (100). This is done to add addition custom workflow configurations for you. This can be sending the document to another location before it is picked up or doing conditional routing.

200

Acknowledged

Used to indicate that the Order was successfully picked up, and is ready to receive an Acknowledgement. Once an Acknowledgement is received the Order will automatically move to the Ready to Ship (500) status. If you have auto-acknowledge setup on your account, the acknowledgement will auto-create on this status and move to Ready to Ship (500) as well.

400

Ready to Fulfill

Used for interim processing using customized flow. Normal users will not use this status. Contact support to learn how you can use statuses to customize your workflows.

500

Ready to Ship

Status indicates the order is waiting for a Shipment. When the shipment is received and all items from the original order have been shipped, the status will move to Ready to Invoice (600) if the partner requires an invoice, if not the status will move to Complete (1000).

530

Shipped

Indicates that an order has been fully shipped. This status is used when the Logicbroker Parcel Movement feature is enabled. Status is updated when all item's shipment's tracking numbers are processed and shipped.

600

Ready to Invoice

Status indicates the system is waiting for invoice. When the Invoice is received and all quantities from the original order have been invoiced the status of the order will move to complete (1000).

1000

Complete

Status indicates the order is complete and all items have been shipped and/or invoiced on the order.

1100

Cancelled

Status indicates that all items are cancelled. This is done by sending related Acknowledgements for your order and marking all the ordered quantities as cancelled. If line items have been partially cancelled the order will not move to this status.

1200

Failed

Status indicates the document failed to process to the partner. To review the error, view the events associated with the document. This can be viewed through API or through the portal under events.

1400

Ignored

Status indicates that the document should be ignored and not fulfilled. Used when you replace a document that has failed. Mark the original as ignored, then send a new version. In the portal, More Actions > Ignore appears while the document is Failed (1200). Accounts that see More Actions > Change Status use it instead. Documents also move to Ignored (1400) automatically after 30 days in Failed (1200). To process one after that, send a new document.

Why is my order still open?

Who this applies to. Suppliers on any connection: portal, EDI, API or file. The order stays in Acknowledged (200), Ready to Ship (500) or Ready to Invoice (600) after you sent shipments or invoices, or the retailer reports the order as open or late.

What it means. Logicbroker checks each order line separately. A line counts as shipped when its shipped quantity plus its cancelled quantity equals the ordered quantity. A line counts as invoiced when its invoiced quantity plus its cancelled quantity equals the ordered quantity. The order moves to Complete (1000) only when every line passes both checks. If the partner does not require an invoice, the order completes once every line is shipped or cancelled. If every line is fully cancelled, the order moves to Cancelled (1100) instead of Complete (1000).

What to check.

  1. Go to Orders and open the order.
  2. In Order Items, compare Quantity, Quantity Shipped and Quantity Cancelled on each line. A line still needs a shipment or a cancellation when Quantity Shipped plus Quantity Cancelled is less than Quantity.
  3. The order page does not show invoiced quantities. In Related Documents, open each invoice and add up Quantity Invoiced for each line. Compare the total with Quantity Shipped.
  4. In Related Documents, look for shipments, invoices or acknowledgements in Failed (1200). A failed document has not updated the order. Open it and read Events for the error.

The fix. Send documents only for what is still open on each line.

  • If a line will still ship, click Ship on the order. The shipment form shows Quantity Remaining for each line, which is the ordered quantity minus the quantity already shipped or cancelled. If you send shipments by EDI, API or file, include only the remaining quantity.
  • If a line will not ship, click Accept/Reject on the order. Enter Quantity Cancelled on that line, no more than its Quantity Remaining, and click Submit. Do not use Cancel All Items on an order that has a shipment. It cancels the full ordered quantity on every line, including lines that shipped.
  • If a line shipped but is not fully invoiced, invoice only the quantity not invoiced yet. In the portal, open the shipment from Related Documents and click New Invoice. The invoice uses that shipment's lines and quantities. If you click Invoice on the order instead, the form fills in the ordered quantity minus cancelled quantity for every line. It does not subtract quantities you already invoiced, so change Quantity Invoiced before you click Submit.
  • Some retailers have their own rules for invoices, such as matching the lines on the shipment or not invoicing more than shipped. Check the retailer's document standards before you send.

How to check it worked. The new documents show Complete (1000) in Related Documents. On the order, Quantity Shipped plus Quantity Cancelled equals Quantity on every line, and the order status moves to Complete (1000), or to Cancelled (1100) if every line was cancelled.

When to contact Support. Contact support if every line is shipped or cancelled and invoiced, and the order is still open. Include your company name, the retailer, the PO number, the order ID#, the line numbers you think are open, and the IDs of the shipments, invoices and acknowledgements you sent.

Invoice failed with "Cannot Invoice Unshipped Items"

Who this applies to. Suppliers who send invoices by portal, EDI, API or file. Some retailers require every invoiced quantity to be shipped first. Logicbroker also blocks invoices for more than the ordered quantity, unless the retailer allows it. That error reads "Cannot Over-Invoice Lines", or "over-invoicing is not allowed" in the portal and API.

What it means. The invoice has more quantity on a line than the shipments for the order. An invoice sent by EDI or file moves to Failed (1200) with this error. An invoice created in the portal or by API is not saved. The error shows when you submit it and starts with "The following lines cannot be invoiced because they are not shipped". Both errors list each line, for example "Tried to invoice 2 but there is 1 shipped."

What to check.

  1. Open the failed invoice and read the error in Events.
  2. Open the order and compare Quantity Shipped on each line with the invoice.
  3. In Related Documents, check that the shipment for those lines exists and shows Complete (1000).
  4. Check that the invoice lines match the shipment lines. If the shipment split an order line, for example into lines 1.0 and 1.1, invoice each line the same way.
  5. Check that the invoice does not repeat lines or quantities you already invoiced.

The fix. The fix depends on the cause.

  • If the shipment was missing or failed, send or fix the shipment first. When the shipment shows Complete (1000), open the failed invoice and use More Actions > Retry. Retry reprocesses the same invoice without changes. For some retailers, Logicbroker retries the failed invoice automatically once the order is fully shipped. The invoice event then reads "Logicbroker automatically retried this failed invoice."
  • If the invoice quantities were wrong, send a new invoice instead. An existing invoice opens read-only, so you cannot edit it. Send the new invoice with only the quantities that shipped and are not yet invoiced. Then mark the failed invoice as ignored with More Actions > Ignore or More Actions > Change Status.

How to check it worked. The invoice shows Complete (1000). When every line is invoiced or cancelled, the order moves to Complete (1000).

When to contact Support. Contact support if the shipment shows Complete (1000) and the invoice still fails. Include the retailer, the PO number, the invoice and shipment IDs, the exact error and what you already tried.

Cancellation failed: "You cannot cancel a line that has already been shipped"

Who this applies to. Suppliers who cancel order lines on an acknowledgement, in the portal with Accept/Reject or by EDI or API. Some retailers apply this rule.

What it means. The acknowledgement cancels quantity on a line that is already on a shipment. The acknowledgement moves to Failed (1200) with "Business Rule Failed". The event reads "This line is already marked as Shipped. You cannot cancel a line that has already been shipped."

What to check.

  1. Open the order and note Quantity Shipped on each line.
  2. Open the failed acknowledgement and compare its Quantity Cancelled on each line.

The fix. An existing acknowledgement opens read-only, and Retry would send the same cancellation again. Instead, send a new acknowledgement that cancels only quantities that did not ship. In the portal, click Accept/Reject on the order, enter Quantity Cancelled only on lines with a Quantity Remaining, and click Submit. Do not use Cancel All Items. Then mark the failed acknowledgement as ignored with More Actions > Ignore or More Actions > Change Status.

How to check it worked. The new acknowledgement shows Complete (1000). On the order, Quantity Cancelled shows the cancelled quantity on those lines.

When to contact Support. Contact support if a line shows as shipped but did not ship, for example because a shipment was sent twice. Include the retailer, the PO number, the line numbers, the shipment and acknowledgement IDs and the exact error.
